25-26 Vehicle Registration

To promote the security of our campus, all vehicles entering the Heathwood Hall campus - and connected to the regular/frequent transportation of an enrolled student or a Heathwood Hall employee -  must display a valid 2025-2026 Campus Access Sticker in the lower corner of the passenger side of the front windshield. Students, parents, faculty, and staff members can apply for Campus Access Stickers by registering their vehicles with the school. Stickers are valid for one academic year - from July 1st through June 30th - and must be renewed annually.


Vehicle Registration Form Access

Each Campus Access Sticker is registered to a specific vehicle and its license plate. Campus access stickers may not be transferred to another vehicle or individual.

How to Obtain a Campus Access Sticker?
Students, parents, faculty, and staff must complete the online Vehicle Registration Form for each vehicle requiring a sticker. The form will collect the following information:

  • Full Name
  • Vehicle make and model
  • License plate number
  • Contact information

Note: A separate form must be completed for each vehicle needing a sticker.

Special Sticker for Seniors
12th-grade students will receive a unique campus access sticker for their graduation year. This sticker permits them to enter and exit campus during the school day. 

Guidelines for Occasional Visitors
For security purposes, those who visit campus infrequently — such as grandparents or babysitters who drop off or pick up students only occasionally — should not apply for a Campus Access Sticker.

Temporary Vehicle Access
If an unregistered vehicle needs access to campus temporarily (e.g., a mechanic’s loaner car or a grandparent's vehicle used during a week of babysitting), a Temporary Vehicle Pass should be obtained by completing the Loaner Vehicle Form found on our website. 

Updating Vehicle Information
Any changes to a registered vehicle — including a new vehicle or license plate — must be updated via the Vehicle Registration Form within 48 hours of the change.

Sticker Distribution
Pick-Up: Campus Access Stickers will be available after the summer period at the Reception/Visitors Desk in Building A1 of the Business Office after the summer mailing period. Stickers may be picked up during regular business hours year-round.

Summer Mailing (Optional):
During the summer months, families may request that their sticker(s) be mailed. Stickers will be mailed in batches within 3 business days of form submission. Mailing Deadline: After August 6, stickers will no longer be mailed. All stickers must be picked up from the Reception Desk after this date.

Replacing a Lost or Damaged Sticker:
If a family needs a new Campus Access Sticker for an already registered vehicle, they may pick one up from the Reception Desk.

Accessing Campus
To help the guard process traffic more quickly, Campus Access Stickers must be placed on the bottom corner of the windshield on the passenger side. This placement ensures they are easily visible to the gate guard during entry. 

During the academic day, the security guard will stop any vehicle that does not display a valid Campus Access Sticker or temporary parking pass, ask about the purpose of the visit, record information about the visitor, and give directions, if needed. 

Important:
Any vehicle that accesses campus during the academic day without a sticker and does not stop for the guard will be immediately reported to the School Resource Officer
